Today I’m discussing three common problems and solutions that will help you better maintain your office filing system.

 

Problem #1: Consistency.

When working with your filing system strive to maintain consistency in labeling, color coding and tab style. This will make it easier to spot files that have been misplaced or misfiled.

 

Problem #2: Obsolete files cluttering filing system

Create a records retention schedule to record how long each type of record must be kept and if the record needs to be archive. Regularly move obsolete files to inactive storage or if possible shred for permanent disposal.

 

Problem #3: Too many people handle the files

Create a training program so that all users, not just those in charge of filing, learn the filing system. Assign responsibility by designating a caretaker of the file system. Reduce misplaced files by teaching the staff how to identify when a file is missing or misfiled.
